# A handoff note the next person can actually use

What the customer needs, what you promised and who does the next thing. A short handoff note your teammate can act on.

Keep your next enquiry in mind as you read.

“Can you pick this one up?” leaves a teammate with questions. What does the customer need? Have we promised anything? Who is supposed to reply?

A useful handoff answers those questions before they have to ask. Keep the note with the enquiry, ready for someone who was not in the last conversation.

THE QUICK TAKE

## Key takeaways

- Name one owner and a next action, with a time or trigger.

- Keep the customer’s request and your promises in the note.

- Carry their contact preference into the next conversation.

## Write these four things before handing over

The next person needs enough context to act. Use the four prompts below, then read the note as if you were receiving it for the first time.

- Need: what the customer asked for, in their words.

- Last exchange: the useful detail learned and any promise made.

- Owner: the person taking the next step.

- Next action: what to do, when or after which trigger, and how to contact them.

Illustrative handoff · home services

Sam needs a repair this week. Postcode and issue recorded; visit time unconfirmed. Maya: call after 4pm tomorrow to confirm coverage and offer an appointment. Sam asked for a call.

## Make the next step easy to finish

“Call to confirm the postcode and offer an appointment” tells a teammate what to do. A note that only says “follow up” leaves them to work it out.

Use the time the customer requested. If the action depends on someone else, name the trigger: “Jordan confirms availability, then Maya calls.”

For a waiting enquiry, say what is outstanding and who checks again. Otherwise the request can sit untouched after everyone assumes someone else has it.

## Keep the promise in the note

Did you promise a revised quote, or a call about the existing one? Record the version, question or missing detail that changes what your teammate should say.

Stick to what happened. “Asked whether installation is included” gives the next person more to work with than “probably not serious”.

If the customer declined or asked you to stop contacting them, make that clear. Close or change the next action so it does not invite another approach.

A clearer note

Asked about the weekend option. We promised to confirm availability before offering a booking. Jordan checks the rota, then replies by the agreed time.

## Carry the contact preference forward

A correct update can still arrive at the wrong time. Keep the customer’s preferred contact channel and time beside the action, without guessing why they chose them.

Read the last exchange before replying. Check whether the customer has already answered your question or is waiting for a specific update. Keep only the context your teammate needs.

## Make sure the next owner knows

Before reassigning an enquiry, check unanswered messages and overdue promises. Give the next owner the context and next action, then let them know what they are taking on.

Agree who covers absent owners and who checks enquiries without a next action. Start with one service or queue, using a rule a new teammate can understand.

## Try it on the next five handoffs

Use the note for the next five handoffs. Ask the receiving teammate to act from it, then flag anything they had to ask about.

Add the details that saved a question. Remove fields nobody used and keep the three checks below as a quick routine for taking over.

Kibi CRM keeps the enquiry, owner and next action together. Try the handoff with the people who actually pick it up.

- Read the last exchange before taking over.

- Check the owner, next action and customer’s preferred contact time.

- After acting, record the outcome and decide the next step.
