Keep your next enquiry in mind as you read.

The work is delivered. The client was lovely. The invoice is doing that thing where it sits quietly while you refresh your bank account.

Now someone has to write the email. Warm enough to keep the relationship. Clear enough that “just checking in” actually checks something.

An invoice reminder email identifies the invoice, confirms its due date and outstanding balance, and gives the client one clear next step. Check payments and replies before sending it.

Below are six messages for six different situations. Use them as starting points, then replace every bracket with the facts. A little personality is welcome. An imaginary overdue balance is less charming.

THE QUICK TAKE

## Key takeaways

- Check the current balance, due date and latest conversation before sending a payment reminder.

- Ask for the action that fits: payment, the right billing contact, a payment reference or an answer about a disputed charge.

- Choose one person to handle the next reply. Copying the whole team is not a handover.

- Kibi connects the enquiry, accepted quote and invoice. Invoices are on Growth; configured payment reminders are on Growth.

## Before the nudge, check the story.

A client who missed the invoice needs something different from a client querying its scope. Read the thread before treating both as “late payer”.

Check your payment records too. A transfer may need matching, or a colleague may already have agreed the next conversation. Your email should reflect what is true now.

- Invoice: correct client, invoice number and service description.

- Balance: current amount outstanding, including any recorded part payment or credit.

- Date: the actual due date and payment terms you agreed.

- Destination: the person who handles payment and the approved way to pay.

- Conversation: any reply, query, payment reference or agreed next contact.

Writing guidance, not an automated decision. Check your own invoice and conversation before sending.

Start with the situation, rather than how irritated your inbox has made you. Each message asks for one useful response.

Replace the brackets, check the link and keep your usual sign-off. Copy these examples into your usual email tool and adapt them; they are not Kibi reminder settings.

01

### Due soon

SUBJECTInvoice [number] — due [date]

Hi [name],

A quick note ahead of [date]: invoice [number] for [service] has [amount] outstanding.

You can view the invoice and payment details here: [invoice link].

If anything needs checking before payment, reply here and I’ll help.

Thanks, [your name]

Use when the due date is approaching and no payment or unresolved question changes the message. Do not describe the invoice as overdue.

02

### Due today

SUBJECTInvoice [number] is due today, [date]

Hi [name],

Invoice [number] for [service] is due today. The outstanding balance is [amount].

Here’s the invoice and payment information: [invoice link].

If there’s anything preventing payment, please let me know so we can sort out the next step.

Thank you, [your name]

Send only after checking the date and latest balance. A due-today reminder does not need an apology or an invented penalty.

03

### Past the due date

SUBJECTInvoice [number] — payment update requested

Hi [name],

I’m following up on invoice [number] for [service], due on [date]. Our records show [amount] still outstanding.

Could you confirm when payment is expected, or let me know if a detail or approval is holding it up?

The invoice and payment information are here: [invoice link].

Thanks, [your name]

Use the remaining balance, not the original total if a part payment has arrived. If they give a payment date, record it and agree the next contact.

04

### Wrong billing contact

SUBJECTWho should receive invoice [number]?

Hi [name],

Could you point me to the person handling payment for [service] at [business]?

I’m checking the right billing contact for invoice [number]. If it needs a purchase-order reference or another approval detail, please let me know.

I’ll confirm the recipient before sharing the invoice again.

Thank you, [your name]

Confirm the authorised recipient. Do not send financial details to a newly suggested address without checking it through your normal process.

05

### They say “already paid”

SUBJECTRe: Invoice [number] — checking the payment

Hi [name],

Thanks for letting me know. I’m checking the payment against invoice [number].

Could you share the payment date and reference through our usual channel? Please don’t send card details or banking credentials.

I’ll check our records and get back to you by [agreed time].

Thanks, [your name]

Use only a return time you can keep. Hold further chase emails while you investigate; record a payment after your team has confirmed it.

06

### A charge is being queried

SUBJECTInvoice [number] — let’s check [item]

Hi [name],

Thanks for raising your question about [specific item] on invoice [number].

[Responsible person] will compare it with [the agreed quote or scope] and get back to you by [agreed time].

If there’s a detail we’ve missed, please reply here so we can review it together.

Thank you, [your name]

Acknowledge the actual question. Put routine chasing on hold while your team reviews it; do not pretend the dispute has already been resolved.

## What makes a payment reminder feel human?

Specificity does most of the work. “Invoice INV-104 for the website launch” gives the reader a recognisable task. “Gentle reminder regarding the same” gives them a small research project.

A clear subject, a short explanation and an easy reply are usually enough. You can be friendly without delivering a three-paragraph weather report before mentioning the money.

Use the client’s name and the service they recognise. Keep the payment route consistent with your approved invoice; do not casually introduce new bank details in a follow-up.

Keep the warmth. Make the request easier to answer.

| Instead of | Try | Why it helps |
| --- | --- | --- |
| Just checking in on this. | Could you confirm the expected payment date for invoice [number]? | The reader knows what response you need. |
| Please do the needful ASAP. | Is an approval or missing detail holding this up? | It makes room for a specific problem. |
| You still haven’t paid. | Our records show [amount] outstanding. Has payment already been sent? | It leaves room to correct your record. |
| Final final reminder! | Invoice [number] — payment update requested | It avoids a threat your process may not support. |

## When should you send an invoice reminder?

Use the agreed due date as your starting point. A short note before it, a due-date reminder and a considered follow-up afterwards can serve different purposes.

That is a possible sequence, not a universal calendar. A familiar monthly billing run, a part payment or an open query can change what makes sense.

Before sending another message, ask: has anything changed since the last one? If the client promised a transfer on Friday, keep that promise visible instead of starting a parallel chase on Thursday.

If reminders go unanswered, confirm receipt and the billing contact through an appropriate established channel. Repeating the same email more loudly will not fix a missing purchase-order reference.

## The agency owner should not have to play inbox detective.

Meet Juniper Studio, a fictional three-person creative agency. Maya handled the discovery call. Ben issued the invoice. The client replies to Maya: “Accounts needs the purchase-order reference.”

Ben sees an outstanding invoice and sends another reminder. Maya thinks accounts has it. The client now has two emails and the same missing detail.

The useful action is to supply the reference, confirm the billing contact and agree who returns to the client. Another “friendly nudge” can wait its turn.

Keep the open question, the person handling it and the promised response time together. That is the part a beautifully worded template cannot do for you.

Fictional team note — not a Kibi automation rule

INV-104 · website launch · client needs PO reference. Maya to confirm it with the client’s billing contact; Ben to handle any invoice correction. Next contact: the time agreed with the client.

The human next step

Ravi plans a billing check in Today. The client knows who to reply to.

Quotes on Team and Growth. Invoices and payment reminders on Growth. Today actions are planned by your team; this is not an automatic invoice-to-task rule.

We make Kibi CRM for small teams who need the enquiry, responsible person and next action in the same place. That context remains useful after someone accepts your quote.

Create quotes on Team and Growth. On Growth, make an invoice from an accepted quote, an enquiry or a client. The customer can open their invoice page to see the amount paid and still due.

Use Today for a human next action, such as calling the client about a billing question. Configured payment reminders are a separate feature on Growth. A planned callback does not send an email by itself.

When the work is won, the next step should feel as considered as the first reply. Less “who was chasing this?” More “I’ve got it”.

## Can Kibi send automatic invoice reminders?

Yes. Payment reminders on Growth are off until enabled. You choose the reminder schedule and available channels; email can be used without setting up WhatsApp or text reminders.

Scheduled reminders stop when the invoice is paid or void. They pause while the workspace is unpaid. These rules do not mean Kibi can judge a billing disagreement.

When a client says “already paid” or queries a charge, a person needs to investigate. Review your reminder settings before more scheduled messages go out; an email reply does not automatically pause them.

For a confirmed bank transfer or other payment received outside the connected gateway, record the payment so the invoice balance reflects it. A client’s message alone is not confirmation that the money arrived.

The examples above are for messages you adapt in your usual email tool. Kibi’s invoice reminder action sends its own email; it is not a custom-template editor.

## The awkward little invoice questions, answered.

How do I politely remind a client to pay an invoice?

Name the invoice, state its due date and current outstanding balance, and include the approved payment route. Ask one clear question. If it is overdue, request an expected payment date and invite the client to flag a missing detail.

What should the subject line of an invoice reminder email say?

Use the invoice number and the reason for the message, such as “Invoice [number] — due [date]” or “Invoice [number] — payment update requested”. Keep it recognisable rather than dramatic.

What if the client says the invoice is already paid?

Thank them, ask for the payment date and reference through your normal channel, and check your records before chasing again. Record a payment once it is confirmed; do not mark it paid solely because an email says so.

Should I keep sending reminders when the client disputes an invoice?

Put routine chasing on hold while a named person reviews the specific issue. Acknowledge the question, compare it with the agreed scope or quote and keep the promised response time. Review any scheduled reminders separately; the reply does not pause them automatically.

Does Kibi’s Today list automatically email a payment reminder?

No. Today helps a teammate return to a planned action. Automatic invoice reminders are a separate opt-in feature on Growth. Keep a human owner for billing questions, payment checks and agreed callbacks.

## One invoice. One useful next step. A little less chasing.

Choose the message that matches the facts, replace the placeholders and give the next reply to someone who can act on it. Clear can still be kind.

If every invoice check begins with three inboxes and a message to the founder, try the connected route in Kibi. Bring a real enquiry, quote it and follow the next action with your team.

Kibi CRM has a 14-day trial, then a paid plan. Start with the people who handle your sales and billing conversations, and check the plan that covers their next steps.
