A fictional example of the work, not a customer testimonial.
Begin with the study question the person is ready to discuss.
An education enquiry may start with a course, a destination or uncertainty about which options to explore. The first response should help the person reach a useful counselling conversation. Kibi gives a small consultancy team a shared enquiry record, a responsible counsellor and a planned follow-up. The receiving teammate can understand why the student contacted the business and which question should be discussed next, even when someone else handled the first message.
Ask for the broad study interest, a destination question where relevant and a suitable contact preference. Use the supported fields or notes that help the first response. The person may be comparing subject areas or asking how an initial conversation works, rather than arriving with a settled choice. Preserve that distinction in the record. It helps the counsellor begin with what the student wants to understand instead of assuming a decision has already been made.
- Course interest: learn which study area the person wants to discuss.
- Destination question: preserve the broad interest and the reason for asking.
- Next-intake question: identify the information needed for the initial conversation.
- Callback preference: record how and when the person wants the team to respond.
Keep the original question attached to its source.
Website enquiries, selected email notifications, calls and advertising responses can begin with different amounts of information. Choose a supported route for each source the consultancy uses. A compatible form or relevant email-forwarding rule can create the starting record, while manual entry can preserve an initial call. Check that the broad course question, source and contact preference reach the counsellor in a form they can use before asking the team to depend on the connection.
Provider conditions belong beside the route: Facebook & Instagram lead ads · Beta — Available after a short review. WhatsApp · Beta — Available after a short review. Google lead forms · Coming. Begin with the source your team can monitor consistently. A form on your own website is a distinct route with its own captured fields, so inspect the actual result. If a notification contains only a broad request, the next action can be a clarifying call. The intake process does not need to pretend the first message already contains every answer.

Give one counsellor responsibility for the next response.
The person checking new requests may be different from the counsellor making the call. Choose an owner responsible for the next student contact and leave the broad question clear. A colleague may supply information about a study area or help arrange the conversation without taking over the entire enquiry. The team should still know who will return to the student and what the person has already been told about that response.
Routing and round-robin are included on Team and Growth. Test the rules that match your working structure and inspect a non-matching request. Review the actual member and owner views with the people handling enquiries. Before a counsellor’s absence, check callbacks needing cover and transfer the current question and promise to the receiving teammate. The handoff works when the new owner can continue from the latest conversation rather than ask the student to repeat the original enquiry.
- Owner: responsible for the next student response.
- Current question: the study interest or arrangement still being discussed.
- Promise: what the consultancy has agreed to provide next.
- Support: the particular information another teammate needs to supply.
- Cover: a receiving owner and a useful next action during an absence.
Record what changed before planning the next contact.
A student may want to discuss options with family, compare information or decide which study question to explore first. Record the useful result of that conversation in plain language. “Comparing two subject areas before arranging another discussion” gives the next counsellor more direction than “interested”. Plan the agreed action in Today so the team returns for a clear reason, with the latest context attached to the enquiry rather than held only by the first counsellor.
After a response, update the action to reflect the current situation. If the person asks for a later callback, preserve that timing. If information was provided and no further contact is agreed, leave the outcome clear. If a call is unanswered, record the attempt separately from a completed conversation. The receiving counsellor should be able to distinguish a waiting decision from an overlooked request and choose the next appropriate response under the consultancy’s contact routine.
Keep applications and official decisions in their proper process.
Kibi’s role here is enquiry ownership and counselling follow-up. Keep transcripts, identity documents, detailed financial information and application records in your approved systems. Official institution decisions, submissions and visa processes belong with the systems and authorities responsible for them. The CRM is not an admissions decision engine, student information system, learning platform or visa-processing product, and it does not guarantee eligibility or acceptance. Make the transfer into the next process clear when the enquiry reaches that point.
Decide which administrative outcome belongs in Kibi and whether a further conversation remains agreed. That might be instructions provided, a counselling follow-up still due or a handoff into the application process. The authoritative application record should not depend on an informal enquiry note. Assess any proposed live information and commercial features against your organisation’s requirements separately. A narrow sales workflow is most useful when the team knows where its responsibility ends and where the next process begins.
Review the response the student is waiting for.
A team lead can ask which enquiries need a first response, which callbacks are due and where a counsellor needs information to answer. Use the actual role access available in the workspace. One student may be waiting for the team to clarify how counselling is arranged, while another has asked to reconnect after a family discussion. Those requests need different actions even when they have been open for the same amount of time.
Keep the team’s administrative outcomes consistent. An enquiry received, an initial conversation completed and a handoff into an application process are distinct events. Review the latest interaction behind a summary before deciding what should happen next. If the consultancy owes information, name the person who will obtain it. If the student has agreed a later contact, retain that context. A useful review ends with a considered next response rather than a general instruction to chase every older enquiry.
Try a handoff while the student’s question changes.
Use the 14-day trial with up to 10 people to evaluate a narrow first-contact routine. Start with fictional course questions and a source your team intends to use. Ask the coordinator to inspect arrival, the counsellor to record the conversation and another counsellor to take over. Include a changed study interest and a delayed callback. The receiving person should understand the current question without asking the student to start the introduction again.
Check the fields and role views with the people responsible for the proposed workflow, then agree what live enquiries belong in the pilot. If counsellors work from phones, try the daily tasks they need on Android or iOS, with setup and administration on the web. Keep the existing routine available until the new source and handoff have been confirmed. Review the ordinary interruptions as carefully as the first successful submission because they show whether the context remains useful.
- The broad question and source are understandable on arrival.
- One counsellor owns the next response.
- The latest conversation reflects a changed study interest.
- Today holds the agreed action and contact preference.
- A receiving counsellor can explain what has already been discussed.
Choose it when enquiry follow-up needs a shared home.
Kibi is worth evaluating when a small education-consultant team’s first-contact requests are scattered across inboxes, phones and personal notes. The workflow gives those enquiries a visible owner and an understandable next action. If your current tools already maintain that handoff consistently, identify the specific gap before adding another application. The team should be able to explain what the CRM will organise and how a student’s enquiry reaches the right next conversation.
Compare the full subscription for the people and plan functions required, with separate provider use where relevant. A pilot can begin with new requests; you do not need to import the full historical list. Where CSV import is useful, inspect an authorised sample, review field meanings and check the context needed for the next response. At the end, ask a different counsellor to continue a few ordinary enquiries from the records, then weigh that result alongside cost and remaining requirements.
Decide with the details.
Does Kibi process applications or decide admission eligibility?
No such functionality is claimed here. The page covers incoming enquiries and counselling follow-up. Use approved application systems and official institution processes for submissions and decisions.
Should we put transcripts or visa documents in the enquiry record?
Keep sensitive application documents in your approved systems. Begin the CRM evaluation with fictional, minimal enquiry data and assess any live use through your organisation’s information-handling practices.
Can we begin with new enquiries rather than moving old records?
Yes. Start with one supported source and a small pilot. If active enquiries need CSV import, review an authorised sample, field mapping, matching records and the context needed for the next conversation before moving the larger list.
Your next enquiry deserves a next step.
Give it a home, an owner and someone who knows when to call back.
